Client Policies & Terms
At Sweet Oakes Designs & Home Staging, every project is handled with care, intention, and professionalism. To ensure clarity and alignment, the following policies govern all services, purchases, and engagements.
By booking services or purchasing products through Sweet Oakes Designs, Client acknowledges and agrees to the terms outlined below.
1. Staging Reservation & Cancellation Policy
Upon written confirmation of a staging project, Sweet Oakes Designs LLC immediately allocates inventory, schedules labor, reserves transportation, and blocks the installation date. Because staging services require advance resource allocation and prevent other bookings for the reserved date, the following cancellation policy applies:
• Cancellations made more than 48 hours prior to the scheduled installation date:
A fee equal to twenty-five percent (25%) of the total staging fee shall be retained.
• Cancellations made less than 24 hours prior to the scheduled installation date:
A fee equal to fifty percent (50%) of the total staging fee shall be retained.
• Cancellations made on the scheduled installation date, or failure to provide access to the property at the agreed time:
One hundred percent (100%) of the total staging fee shall be non-refundable.
These fees represent inventory reservation, labor scheduling, transportation coordination, administrative preparation, and lost booking opportunity. If Client requests rescheduling rather than cancellation, Sweet Oakes Designs LLC will make reasonable efforts to accommodate a new date based on availability. Rescheduling is not guaranteed.
2. Product Sales & Final Sale Policy
All furniture, décor, styling elements, and design-related products purchased or facilitated through Sweet Oakes Designs LLC are considered custom or special-order items and are final sale.
Client must provide written notice within seven (7) calendar days of delivery or installation regarding:
• Manufacturing defects
• Visible transit damage
• Missing components
Sweet Oakes Designs LLC will assist Client in submitting a claim to the applicable manufacturer or supplier. Resolution is subject to manufacturer policies, availability, and processing timelines, which are outside the control of Sweet Oakes Designs LLC.
After seven (7) calendar days from delivery, all sales are final and no claims, returns, exchanges, or refunds will be accepted.
Change of preference, aesthetic dissatisfaction, or buyer’s remorse does not constitute grounds for return or refund.
3. Installation & Property Readiness Requirements
Client is responsible for ensuring that the property is fully prepared for installation prior to the scheduled staging date. This includes:
• Active and functioning utilities
• Completion of construction or renovation
• Clean, debris-free floors and surfaces
• Secured pets
• Unrestricted property access
If installation cannot be completed due to property unpreparedness or lack of access, additional labor, return trip, or rescheduling fees may apply.
Sweet Oakes Designs LLC is not responsible for damage resulting from pre-existing structural conditions, construction defects, unsecured fixtures, or third-party workmanship.
4. Staging Rental Terms & Client Responsibility
All furnishings, artwork, accessories, and styling elements used in staging remain the sole property of Sweet Oakes Designs LLC unless separately purchased.
During the staging term:
• Items may not be moved, removed, replaced, or altered without written consent.
• Client is responsible for loss, theft, pet damage, guest damage, vandalism, or excessive wear beyond normal use.
• Replacement or repair costs for damaged or missing items will be invoiced at full retail replacement value.
Client agrees to maintain appropriate climate control within the property during the staging term to prevent damage to furnishings.
5. Photography & Marketing Authorization
Sweet Oakes Designs LLC reserves the right to professionally photograph and video completed projects for portfolio, marketing, advertising, digital, print, and award submission purposes.
By engaging services, Client grants Sweet Oakes Designs LLC a perpetual, royalty-free license to use images of the completed project.
Sweet Oakes Designs LLC will not disclose confidential financial information or personal client details. Property addresses will only be referenced if publicly listed or with written consent.
6. Intellectual Property
All design concepts, layouts, mood boards, renderings, styling plans, proposals, and creative materials developed by Sweet Oakes Designs LLC are protected intellectual property.
These materials may not be reproduced, copied, distributed, or implemented without written authorization.
Unauthorized use of design materials may result in legal action.
7. Payment Terms
Payment schedules are outlined within each individual proposal or agreement.
Unless otherwise specified:
• Design fees are non-refundable once design work has commenced.
• Staging services are subject to the cancellation policy above.
• Product purchases must be paid in full prior to ordering.
Late payments may incur fees and may delay scheduling or delivery.
If a Pay-at-Close option is offered, payment is due at the time of closing. If the property is withdrawn, expires, canceled, or fails to close for any reason, the full balance becomes immediately due.
8. Confidentiality
Sweet Oakes Designs LLC respects the privacy of its clients.
All non-public project details, pricing structures, and personal information will be kept confidential and will not be disclosed to third parties except as required to fulfill the project (vendors, suppliers, contractors) or as required by law.
9. Limitation of Liability
To the fullest extent permitted by law, Sweet Oakes Designs LLC shall not be liable for:
• Pre-existing property damage
• Structural deficiencies
• Construction defects
• Third-party installation errors
• Manufacturer defects beyond facilitation of claim
• Delays due to shipping, supply chain, weather, labor shortages, or events beyond reasonable control
Client agrees that total liability, if any, shall not exceed the total amount paid for services rendered.
10. Governing Law & Jurisdiction
These Policies & Terms, and any services or transactions entered into with Sweet Oakes Designs & Home Staging LLC, shall be governed by and construed in accordance with the laws of the State of Kansas, without regard to its conflict of law principles.
Client agrees that any dispute, claim, or controversy arising out of or relating to services provided by Sweet Oakes Designs LLC shall be brought exclusively in the state courts located in Kansas.
By engaging Sweet Oakes Designs LLC, Client consents to the personal jurisdiction and venue of such courts.
Company Entity Protection
Sweet Oakes Designs LLC is a Kansas limited liability company. Client agrees that any claims arising from services provided shall be made solely against the Company and not against any individual member, owner, manager, or employee of the Company.
